This feature allows administrators to temporarily stop a crew member's payroll payment before processing, preventing it from being included in the payment submission to the bank.
How to Hold the Payment
- From the Payroll Provider site's homepage, select the vessel you are working on then navigate to the Payroll Provider tab.
- Click the three dots next to the relevant crew member and select Create Held Payment.
> Enter a comment explaining why the payment is being placed on hold, > then click Submit to save the changes.

The record will be separated from the main payroll and highlighted in both the Management and Payroll Provider sites.
View Held Payment and Edit Adjustments
- From the Management site, switch to the vessel account you are working on. Then, open the Payroll module and select the Summary tab for the payroll month you need to manage.
- Click the three dots next to the relevant crew member and select View Held Payment.

- You can modify the adjustments by clicking Edit Adjustments.
Enter the required changes, then click Submit to save the updates.

- Once the adjustments have been added, select Submit for Approval. If you have the necessary permissions, you can proceed by clicking Approve.
Enter a comment and click Submit.

Once approved, the record status will change to Open in the Payroll Provider site.
Please note that the record has been split from the main payroll. As a result, separate funding requests will run alongside the payroll for the remaining crew members.
Finalizing and Releasing a Held Payment
- From the Payroll Provider site's homepage, select the vessel you are working on then navigate to the Payroll Provider tab.
- Click the three dots next to the relevant crew member, and select View Held Payment.

- Additional adjustments can be added if necessary.
> Once the adjustments have been finalized, click Submit.

- When ready, click Change Status to Submitted for Funding. This action will generate a funding request.

- You will then have the option to add Additional Fees, if needed.

The record can then progress through the following statuses:
- Funding Received - This status is assigned once the Crew Employer has received the funds required to pay the crew.
- Payments Created -- Awaiting Approval - This status is assigned once the payment instructions have been created and sent to the bank, either through an API or a batch file, but are still awaiting approval.
- Payments Created -- Approved - This status is assigned once the payment instructions have been approved by a second authorized user. Approval requires the user to complete MFA (multi-factor authentication) and confirm the Payment Date.
- Closed - This status is assigned once the Crew Employer has confirmed that the bank has successfully processed and sent the payments to the crew members.
