Offline Access — Overview

Fleet account access: Offline access is coordinated between the vessel's Fleet administrator (yacht management company) and MMV support. The installation itself is performed remotely by MMV once the vessel's server meets the minimum requirements. Offline access is a Fleet-level feature — Sub-Account, Crew, and Payroll users do not manage it.

An offline installation gives a vessel a local copy of MMV running on a dedicated onboard server. The vessel's crew can keep using MMV even when the vessel loses internet connectivity, and the local system syncs back to the cloud whenever a connection is available.

Getting an offline install set up? The vessel's onboard AVIT / engineer usually handles the hardware side. To make that easier, download the Vessel IT Install Packet below — a single self-contained PDF you can send to whoever will do the install onboard. They don't need an MMV account to read it.

The 4-step installation process

There are 4 steps required to complete an offline installation onboard a vessel. Read them all before starting so you understand what's involved.

Step 1 — Offline Installation Request

The management company of the vessel emails support@managemyvessel.com requesting an offline installation and advising:

  • Who will be responsible for the offline installation fees (the vessel or the management company)
  • The vessel point of contact (POC) who will be the main point of contact for the offline installation

If a vessel contacts MMV directly, we will ask them to contact their management company first and await direction from the management company.

Step 2 — Service Order & Offline Installation Information

MMV will send a service order via QuickBooks to the entity responsible for the offline installation fee, to be approved in order for the process to proceed.

Once the service order is signed, MMV will send the Offline Installation Request form to the vessel point of contact via PandaDoc.

They fill out Section A (vessel info + Belarc report + confirmation of minimum requirements) and send it back to MMV.

Step 3 — Sandbox & Install Files

MMV prepares the installation files and emails the main point of contact a link to download them.

If the server or PC doesn't meet MMV's minimum requirements, installation files are not provided until the server is modified to meet spec.

The install files must be downloaded to the root of the C: drive or to the desktop of the user, as detailed in the Installation Request form.

Once downloaded, the main point of contact emails support@managemyvessel.com to book the installation appointment.

Important: The install file is only valid for 14 days. The first file is free. If it expires, requesting a new one costs $200.

Step 4 — Offline Installation Completion

Once the program is installed and operational, MMV emails the main point of contact and management company to confirm completion and provides the offline portal login information.

Common questions

Can we install MMV Offline on a laptop?

No. Using a laptop is not supported. Laptops tend to get switched off or removed, which means the system can't sync or be available to anyone other than the laptop holder. MMV Offline requires a dedicated PC or Virtual Machine that stays powered on.

Who pays for the offline installation?

Either the vessel directly or the management company — whichever the management company designates when they request the install. MMV bills according to that direction.

How long does the installation take?

Once the vessel's server meets the minimum requirements and the Belarc report is delivered, MMV typically completes the installation in a single session by remote access. The bulk of the elapsed time is usually the back-and-forth to get the server set up correctly.
