Users can configure triggers and automations on form templates to automatically generate alerts or send email notifications based on specific conditions or activities.
Triggers can be configured based on form activity, comments, acknowledgements, or defined timing rules. This helps ensure that relevant users are notified promptly when specific actions occur or when attention is required.
- Click the Modules menu and select Forms.
- On the Administration menu, select Form Template.
- Select the form you want to create an alert for, then click the View icon.
- Go to the Triggers and Automations tab, then click New Trigger or New Automation.
FOR TRIGGER:
There are three types you can set up.
- Form instance is created or updated - Notifies users when a form is created or updated.
- A new Comment is entered -- Notifies users when a form has a new comment.
- Alert is acknowledged - Notifies users when an alert has been recognized or confirmed.
Select which Accounts the trigger applies to, then click Submit to save.
FOR AUTOMATION:
There are three types you can set up.
- Hours after the time specified - Notify users after a certain number of hours.
- Days after the specified date - Notify users when the form was created, last modified, or saved as draft after a number of days.
- Days before the specified date - Notify users a certain number of days before a given date.
Select which Accounts the trigger applies to, then click Submit to save.
When setting up a trigger or automation, you will have the option to add an action by sending an alert, email, highlight the form or delete the form.
You'll also have the option to customize the message and select the recipient who will receive the alert or email.
