Triggers & automations are actions that can be set up for Forms & Checklists. They are significantly more customisable than our traditional alerts elsewhere in the system and can be used to create alerts and emails reminders as well as actions to update the form.
Triggers and Automations can also use information contained within a form to decide whether an alert is sent or not.
As the title suggests, the alerts are split into two categories, Triggers and Automations:
Triggers are actions such as alerts that will be activated when a form is checked into the system, based on any conditions you specify.
Automations are actions such as alerts that will be activated after a certain amount of time based on any conditions you specify. This means automations can activate without a form being modified or updated.
There are no limit to the amount of Triggers and Automations you can have, and you can add as many conditions to each Trigger or automation as needed.
The main actions that you can carry out with a Trigger or automation are:
- Sending an alert within the system
- Sending an email
- Closing a form
- Automatically Checking in a form
- Automatically undo and check out a form
For any alerts and emails you send out you are also able to customise the message and recipients, adding data from each form instance as well. This gives you extensive options when designing these alerts.
